How it works

From template to signed, step by step

Here is exactly what happens to a document in Signetec, and what you have at the end.

  1. Set up a template

Write your document once, in the built-in editor or in Google Docs, and mark the parts that change as merge fields — for example {{client_name}} or {{property_address}}. Longer sections that vary from deal to deal can be content zones that you write at generation time.

Fields come in three kinds: details Signetec fills for you from your profile or a connected sheet, details your team enters when the document is generated, and details the signatory completes themselves.

  2. Generate the document

Choose a template, optionally pre-fill from a Google Sheet, complete the remaining fields and preview the finished document. Your original template is never changed. A PDF is produced, and its fingerprint (a SHA-256 hash) is anchored to the Bitcoin blockchain.

  3. Send it for signature

Add one or more signatories and send. Each person receives an email with a private link that expires after a set time. People you copy in on the outcome (for example the agent or the office) are notified when it is done.

  4. The signatory verifies and signs

No account, no app. The signatory opens the link and confirms their identity with a one-time code sent to their email. If you left fields for them, they complete those first and watch the document update. Then they draw, type or upload their signature — on a phone, tablet or computer.

Signetec records the date and time, the signatory’s device details and their location (from the device when allowed, or typed in), and stamps the signature into the document at the place your template specifies.

  5. Everyone gets the result

A final signed PDF is generated. The document owner is told as soon as it is fully signed, and the signed copy is kept in your workspace, searchable and downloadable.

The evidence package

Proof you can hand to anyone

For every signed document you can download an evidence package: a single PDF that records what happened, so you are not reconstructing it from emails months later.

  • A cover page with the document’s fingerprint and status
  • The signed document exactly as it looked when it was signed
  • A record for each signatory: name, email, how they were verified, when and where they signed
  • The blockchain timestamp details and how to verify them yourself
  • A complete audit trail of every action on the document

Blockchain timestamps

Anchored to Bitcoin, verifiable without us

When a document is generated, Signetec computes its SHA-256 fingerprint and submits it to the OpenTimestamps calendar network, which anchors it to the Bitcoin blockchain. Your document itself never leaves Signetec — only its fingerprint does.

Once Bitcoin confirms it (usually within a few hours) the timestamp proves the document existed in exactly that form at that time, and that it has not changed since. The signed version is fingerprinted too, and the evidence package records both. It explains how anyone can check this with free tools, without needing Signetec or access to your account.

For teams

Roles, branches and oversight

Organisation accounts let a whole business work in one workspace, with the right people seeing the right things.

Roles

  • Organisation Admin — people, templates, settings, billing and branding
  • Manager — templates and oversight of everyone’s documents
  • Agent — creates and sends documents, sees their own
  • Viewer — read-only oversight for compliance and principals

Built for how businesses run

  • Invite colleagues by email; seats are added or reduced as you grow
  • Branches, so offices can be told apart in documents and reports
  • Your logo and details merged into every document
  • A searchable audit log of what happened and who did it
